GraftPal Email Marketing Is Here

A complete email marketing system is now built into GraftPal: campaigns, automations with 37 trigger types, subscriber management, SMTP support, and a template gallery.

GraftPal Email Marketing Is Here

Email marketing has been the most requested feature in GraftPal's history, and today it's live. Not a basic newsletter tool bolted on as an afterthought, but a comprehensive email marketing system built into the platform from the ground up.

Why We Built It

Most GraftPal users were paying for a separate email marketing tool — Mailchimp, Brevo, or MailerLite — and manually syncing contacts between the two systems. That created three problems: duplicated data, extra monthly costs, and a fragmented view of customer engagement. With email marketing inside GraftPal, your contacts, your campaigns, and your CRM data all live in the same place.

Campaigns

The campaigns module lets you create, schedule, and send email campaigns to your subscriber list. The editor supports rich text, images, buttons, and columns, and every campaign is automatically responsive on mobile.

Building a Campaign

Navigate to Email Marketing → Campaigns → Create Campaign. Choose your audience (all subscribers, a segment, or a tag-based group), design your email using the visual editor, and either send it immediately or schedule it for a specific date and time.

After sending, the campaign dashboard shows real-time analytics: total sent, delivered, opened, clicked, bounced, and unsubscribed. These metrics update live, so you can see engagement rolling in within minutes of hitting send.

Segments and Tags

You can segment your subscriber list using any combination of tags and segmentation rules, signup date, engagement level, or custom fields. For example, you might create a segment of subscribers who signed up in the last 90 days and opened at least one previous campaign — ideal for a targeted promotion.

Automations

Automations are where GraftPal's email marketing truly stands apart from standalone tools. Because the email system is integrated with the CRM, you can trigger automations based on events that happen anywhere in the platform — not just email activity.

37 Trigger Types

We've launched with 37 trigger types spanning contacts, leads, jobs, proposals, invoices, payments, forms, and email engagement. Here are some examples:

  • New lead created — Send a welcome email immediately.
  • Proposal viewed — Follow up with a case study 24 hours later.
  • Invoice overdue by 7 days — Send a payment reminder automatically.
  • Job status changed to complete — Trigger a review request email.
  • Form submitted (quote request) — Send a confirmation and estimated response time.
  • Subscriber tag added — Enrol in a tag-specific nurture sequence.
  • Email opened but not clicked — Resend with a different subject line after 48 hours.

Each automation consists of a trigger, optional conditions (e.g. "only if job value exceeds £5,000"), delays, and one or more actions (send email, add tag, create task, update field, or remove from automation). For a deeper look at automation capabilities, see workflow automation.

Visual Automation Builder

The automation builder uses a flow-based visual editor. You start with a trigger node, add conditions and delays, and connect them to action nodes. You can see the entire flow at a glance and test it with a preview contact before activating.

Subscriber Management

The subscriber module gives you a central place to manage your mailing list. Subscribers can be imported via CSV, added manually, or captured through GraftPal's built-in lead capture forms. Every subscriber record shows their email engagement history, tags, segments, and the automations they're enroled in.

Built-In Compliance

GraftPal handles double opt-in, unsubscribe links, and suppression lists automatically. Every email includes a compliant unsubscribe footer, and unsubscribed contacts are immediately suppressed from all future campaigns and automations. This keeps you on the right side of GDPR and CAN-SPAM without any manual effort.

SMTP Support

By default, emails send from GraftPal's shared sending infrastructure. If you want to send from your own domain for better email deliverability and brand consistency, you can connect your own SMTP provider (Google Workspace, Microsoft 365, Amazon SES, or any standard SMTP server) in Settings → Email Marketing → SMTP.

Setting up your own SMTP takes about five minutes and lets you send emails from addresses like hello@yourbusiness.com rather than a GraftPal subdomain.

We've included a gallery of pre-designed email templates to get you started quickly. Templates are organised by purpose: Newsletter, Promotion, Case Study, Event Invitation, and Plain Text. Each template is fully editable in the visual editor, so you can customise colours, fonts, images, and layout to match your brand.

If you build a design you want to reuse, you can save any campaign as a custom template for future use.

Pricing

Email marketing is included at no extra cost on all paid GraftPal plans. There are no per-email fees, no subscriber limits, and no feature gates. Every paid user gets full access to campaigns, automations, subscriber management, SMTP, and templates.

Getting Started

Head to Email Marketing in the sidebar. Import your existing subscriber list (or start collecting subscribers through your GraftPal forms), create your first campaign or automation, and you're live.
