Privacy Policy

How GraftPal collects, uses, shares and protects personal data, including the data you store about your own clients, and the rights you have over it.
1. Who we are
GraftPal ("GraftPal", "we", "us") provides the GraftPal business management platform, its client portal, mobile and web applications, APIs and the website at graftpal.com (together, the "Service").
For anything about privacy or this policy, email privacy@graftpal.com.
2. Controller and processor
GraftPal handles personal data in two different roles, and this policy covers both:
- As a controller for data about our own customers and website visitors: your account, billing, support conversations, usage of the Service, and marketing preferences. We decide how and why this data is used.
- As a processor for the data our customers store in their workspace about their own clients, leads, contacts and staff ("Customer Data"). The customer is the controller of that data; we only process it on their documented instructions to provide the Service, under the data processing terms in section 11 of our Terms of Service.
3. Data we collect
Data you give us
- Account and profile: name, email address, password (stored only as a salted hash), phone number, business name, job title, profile photo and workspace settings.
- Billing: billing contact, address, VAT/tax number, plan and payment history. Card details are collected and stored by Stripe; we never see or store full card numbers.
- Customer Data: whatever you add to your workspace, such as clients, leads, contacts, jobs, quotes, proposals, invoices, payments, messages, documents, forms, notes and files.
- Support and communications: messages you send us, feedback, survey answers and call notes.
- Website chat: messages you send to the chat assistant on graftpal.com, the page you were on, and your name, email address and business name if you ask the team to contact you.
Data we collect automatically
- Usage data: pages and features used, actions taken, and dates and times.
- Device and log data: IP address, browser and device type, operating system, and error and security logs.
- Cookies and similar technologies: see our Cookie Policy. Non-essential cookies are only set with your consent.
Data from others
- Integrations you connect: for example payment status from Stripe, or data from accounting, calendar and marketing tools you link to your workspace.
- Your team: a workspace owner may invite you and add your name and email address.
- Your clients: when a customer's client uses the client portal, signs a document or submits a form, we process that data for the customer.
The Service is not designed for special category data (such as health information) or criminal offence data. Customers must not upload it unless they have a lawful basis and any required safeguards in place.
4. How we use it, and why
Where we act as a controller, we use personal data only for these purposes and on these lawful bases:
| Purpose | Lawful basis (UK/EU GDPR) |
|---|---|
| Creating and running your account and providing the Service | Performance of a contract |
| Billing, collecting payment and keeping accounting records | Contract; legal obligation |
| Security, fraud prevention, abuse detection and keeping the Service available | Legitimate interests (protecting our customers and the Service) |
| Customer support and service messages (such as security alerts and billing notices) | Contract; legitimate interests |
| Improving the Service using aggregated or de-identified usage data | Legitimate interests (building a better product) |
| Product news and marketing emails | Consent, or legitimate interests for existing customers (you can opt out at any time) |
| Non-essential cookies and analytics | Consent |
| Complying with law, responding to lawful requests and defending legal claims | Legal obligation; legitimate interests |
We do not use Customer Data for our own purposes, do not sell it, and do not use it for advertising. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
5. AI features
GraftPal AI features (such as the assistant, drafting and insights) send your prompt, and the workspace information needed to answer it, to our AI provider OpenAI through its API. The chat assistant on graftpal.com works the same way, answering from our website's content; we review saved chats to improve its answers. Under OpenAI's API terms, this data is not used to train OpenAI's models. We do not use Customer Data to train AI models of our own.
AI output can be wrong, so review it before you rely on it or send it to anyone. AI chat history is deleted automatically after 7 to 30 days, depending on your plan (see section 8). You never have to use AI features to use GraftPal.
7. International transfers
Some of our providers process data outside the UK and EEA, mainly in the United States. Where they do, we use a recognised safeguard: an adequacy decision or regulation (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified), the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses, together with any supplementary measures needed. You can ask us for a copy of the relevant safeguard at privacy@graftpal.com.
8. How long we keep it
| Data | How long |
|---|---|
| Account and Customer Data | While your account is active. When an account is deleted in Settings, its data is permanently deleted at once; copies in backups are overwritten on our providers' normal backup cycle. |
| Deleted items | Moved to your workspace trash, where you can restore them or delete them permanently. |
| Audit logs | 90 days (Starter), 365 days (Growth), 730 days (Scale) |
| Activity and email logs | 30 days (Starter), 90 days (Growth), 365 days (Scale) |
| AI chat history | 7 days (Starter and trial), 14 days (Growth), 30 days (Scale) |
| Billing and tax records | As long as tax and accounting law requires, usually 6 years after the transaction in the UK |
| Support conversations | As long as needed to help you and keep a record of what was agreed, then deleted |
| Website chat conversations | Up to 12 months, then deleted automatically. Requests passed to the team are kept as support records. |
| Marketing preferences | Until you unsubscribe; we keep a suppression record so we don't email you again |
Customers can export their data (for example as CSV) at any time while their subscription is active.
9. How we protect it
We use technical and organisational measures appropriate to the risk, including:
- Encryption in transit (TLS/HTTPS) for all traffic, and encryption at rest by our database and storage provider.
- Passwords stored only as salted bcrypt hashes; integration access tokens encrypted with AES-256-GCM.
- Logical separation of each workspace's data, and role-based permissions within a workspace.
- Audit logs of important account and data actions.
- Rate limiting, security headers and a content security policy to reduce abuse and attacks.
- Least-privilege access for GraftPal staff, who access Customer Data only when needed to provide support you ask for, to keep the Service secure, or when the law requires.
- Error and security monitoring, dependency updates and a documented incident response process.
No system is completely secure. If you believe you have found a security issue, please email security@graftpal.com and give us a reasonable chance to fix it before disclosing it.
10. Personal data breaches
If a personal data breach happens, we will contain it, assess the risk and act to limit harm. Where we are the controller, we will report it to the ICO (or other supervisory authority) within 72 hours where required, and tell affected people without undue delay if the risk to them is high. Where we are a processor, we will tell the affected customer without undue delay after becoming aware of it and give them the information they need to meet their own obligations.
11. Your rights
Depending on where you live, you have the right to:
- access the personal data we hold about you and get a copy;
- have inaccurate or incomplete data corrected;
- have your data erased;
- restrict or object to our processing, including for direct marketing (an absolute right);
- receive your data in a portable format, or have it sent to another provider;
- withdraw consent at any time, without affecting processing before you withdrew it;
- not be subject to decisions based solely on automated processing that significantly affect you.
Many of these you can do yourself in the app: edit your profile, export data, and delete your account in Settings. Otherwise, email privacy@graftpal.com. We will respond within one month (extendable by two months for complex requests, in which case we will tell you), and may need to confirm your identity first. There is no fee unless a request is clearly unfounded or excessive.
12. If a GraftPal customer holds your data
If you are a client, lead or contact of a business that uses GraftPal, that business is the controller of your data and its own privacy notice applies. Please send requests to them first. If you contact us, we will pass your request to the business and help them respond.
13. Marketing and cookies
We send product news and offers only where the law allows, and every marketing email has an unsubscribe link. Service messages (such as security alerts, receipts and changes to these terms) are not marketing and you will still receive them. Our use of cookies and your choices are explained in our Cookie Policy; you can change your cookie choices at any time with the Manage Cookies button.
14. Children
The Service is for businesses and is not intended for anyone under 18. We do not knowingly collect personal data from children. If you think a child has given us personal data, contact privacy@graftpal.com and we will delete it.
15. Regional information
United Kingdom and European Economic Area
We process personal data in line with the UK GDPR, the Data Protection Act 2018 and, where it applies, the EU GDPR. The lawful bases we rely on are set out in section 4. You can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113) or, in the EEA, to your local supervisory authority.
United States (including California)
In the last 12 months we have collected the categories of personal information described in section 3: identifiers (such as name, email address and IP address), commercial information (subscriptions and transactions), internet or network activity (usage and device data), and professional information you add to your account. We collect it for the business purposes in section 4 and disclose it only to the service providers in section 6.
We do not sell or share personal information for cross-context behavioural advertising, and we do not knowingly sell or share the personal information of anyone under 16. Depending on your state, you may have the right to know, access, correct and delete your personal information, to opt out of sale, sharing and targeted advertising, and to limit the use of sensitive personal information (we do not use it for purposes that require a right to limit). We will not discriminate against you for using these rights. Send requests to privacy@graftpal.com; we will verify your identity by email, and you may use an authorised agent. We honour Global Privacy Control signals as an opt-out of any sale or sharing.
Australia
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. You can ask to access or correct your personal information at any time. Some of our service providers are overseas (see sections 6 and 7); we take reasonable steps to make sure they handle it consistently with the APPs. If you are unhappy with how we handle a complaint, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
India
Where the Digital Personal Data Protection Act 2023 applies, we process your personal data for the purposes described in section 4 on the basis of your consent or legitimate uses permitted by the Act. As a Data Principal you can ask for a summary of your data, correction, completion, updating or erasure, nominate someone to exercise your rights, and seek grievance redressal. Our grievance contact is privacy@graftpal.com; we aim to respond within 30 days. If you are not satisfied, you may approach the Data Protection Board of India.
16. Changes to this policy
We will update this policy when our practices or the law change, and change the date at the top. If a change is significant, we will tell customers by email or in the app before it takes effect.
17. Contact and complaints
Questions, requests or complaints: privacy@graftpal.com. We would like the chance to resolve any concern first, but you always have the right to complain to a supervisory authority, such as the UK Information Commissioner's Office (ico.org.uk).
