5 Email Templates That Close Deals

The best sales emails share three qualities: they're short, they're specific, and they make the next step obvious. After analyzing thousands of outbound emails sent through GraftPal, we've identified the five templates that consistently produce the highest reply rates for freelancers and small service businesses.

Initial Outreach Template

The first template is the Initial Outreach email. It should be no longer than four sentences: one that references something specific about the prospect's business, one that states the problem you solve, one that offers a brief proof point, and one that proposes a specific next step. Avoid vague requests like "I'd love to connect." Instead, offer two concrete time slots for a fifteen-minute call. This approach has shown reply rates of twenty-three percent compared to the industry average of eight percent.

Follow-Up and Breakup Templates

The second and third templates cover the Follow-Up and the Breakup. The follow-up should arrive three days after your initial email and add new value—a relevant article, a short case study, or a quick insight about their industry. The breakup email, sent after two unanswered follow-ups, uses a subject line like "Should I close your file?" and works because it triggers loss aversion. Our data shows breakup emails have a fourteen percent reply rate, often higher than the initial outreach.

Proposal and Close Templates

Templates four and five handle the Proposal Introduction and the Close. When sending a proposal, don't just attach a PDF and hope for the best. Write a brief email that summarizes the three key outcomes the prospect will achieve, names the investment amount upfront, and provides a deadline for the pricing to remain valid. For the closing email, after verbal agreement, confirm the scope, timeline, and next steps in writing within two hours. Speed at this stage signals professionalism and prevents buyer's remorse. Each of these templates is available as a ready-to-use sequence inside GraftPal's template library.
